A Client is considered late to the scheduled appointment if the client does not present to the scheduled appointment within 15 after the beginning of the appointment time (for example, scheduled appointment is at 4:00 PM, Client is deemed late after 4:15 PM). Should this occur, the therapist may consider this a late cancellation and the client may be subject to the $100 late cancellation fee per agency policy.
Individual Therapy: When your appointment is scheduled, Theravada Mental Health LLC is setting aside a dedicated time slot to ensure you are seen. We only ask that if you must reschedule your appointment, that you please provide us with AT LEAST 24 HOURS NOTICE. This courtesy makes it possible to give your reserved time slot to another patient who would be more than happy to accept. The fee for not showing up for scheduled appointments or for not cancelling at least 24 hours in advance is $100 unless such cancellation was deemed medically necessary, or emergency based. If the Client can reschedule the missed or late canceled appointment within the same week, it will be up to the discretion of the clinician as to whether the late cancellation fee is waived.
If the Client has two (2) no-call, no show appointments and/or cancels with less than 24 hours’ notice within a three (3) month time frame, the Client may have to schedule weekly based on clinician availability for all future appointments. If the Client has three (3) no-call, no show appointments and/or late cancellations within a three (3) month time period, the mental health provider will discuss with the Client their decision to participate in services and may consider a referral to another provider, if deemed necessary and require that they schedule weekly based on clinician availability.
Clients using Medicaid for primary insurance coverage: As we cannot apply our typical late cancellation/missed appointment fee to Medicaid recipients per our contract with Medicaid, we allow two no call/no shows, two late cancellation (less than 24 hours’ notice provided), OR a combination of any two total no call/no show or late cancellation. At the occurrence of the second late cancellation of no call/no show, we will email the Client a notice of discharge from services with our agency and provide them with no less than three referral sources that accept their insurance.
Group Therapy: closed groups, our policy for cancellations ranges, depending on the group. For some, a Client must provide at least one weeks’ notice of non-attendance, otherwise the Client will be charged the regular fee for attending, and for other groups, a Client must provide at least 24 hours’ notice. These policies for late cancellations are enforced unless otherwise excused by your group facilitator for situations that are medically necessary or emergency-based.
For open groups, late cancellation and no show requirements vary. Please consult with your group facilitator and the agency administration to ensure these policies are appropriately and correctly communicated.
All group attendance no shows will be charged the full cost of the session that they missed for closed groups.
These policies are set in place to encourage the Client and/or Client’s guardian(s) to be active participants and foster therapeutic rapport and active engagement as well as to acknowledge that progress is best achieved through consistent attendance at an agreed upon frequency.
